Terms and Conditions for
EVENT STAFF, MODELS AND SPECIALITY STAFF
INTRODUCTION
This Agreement is made between:
Elpromotions Agency, a trading name of Events Lab Limited, a company registered in
England & Wales (Company No. 07582595), having its registered address at Capital
Office, 124 City Road, London EC1V 2NX (“the Agency”)
and
[Staff Name] (“the Staff”)
By entering into this Agreement, the Staff agrees to the following terms as an
independent contractor:
DEFINITIONS
Client – Any person, company or body hiring services provided by the Agency.
Staff – Any staff member or contractor engaged by the Agency.
Booking – The period for which the Staff is engaged to provide services to the Client.
Agency – Elpromotions Agency, a trading name of Events Lab Limited.
1. STATUS OF ENGAGEMENT
The Staff acknowledges they are an independent contractor and not an employee of the
Agency. Nothing in this Agreement shall constitute an employment relationship. The
Staff is responsible for registering as self-employed and for paying their own tax and
national insurance contributions. The Staff is engaged as a self-employed contractor.
On rare occasions, the Agency may offer work under PAYE; in such cases, a separate
engagement agreement with agency will be required. Staff monthly PAYE processing
fee is £3 and this will be deducted from pay. The fee is only paid once per monthly
payrun.
2. BOOKING ACCEPTANCE & CONDUCT
2.1 Work may be offered on a booking-by-booking basis. No guarantee of ongoing
work is provided. The Agency does not guarantee any offer of work and shall not be
held liable for a lack of assignments.
2.2 Once a booking is accepted, it may not be cancelled without penalty except in
cases of genuine emergency or with prior written agreement.
2.3 The Staff agrees to:
– Arrive on time and follow booking instructions sent by email and phone
– Not give contact or rate details to Clients
– Check in by sending a message on WhatsApp to the contact provided at the start of a
shift with a photo
– Maintain a professional appearance and conduct
2.4 Changes to appearance (hair, tattoos, piercings) must be notified to the Agency
prior to bookings.
3. PAYMENT TERMS
3.1 The Agency will communicate the agreed fee per booking in writing.
3.2 The Staff must submit an invoice and/or timesheet following completion of the
booking.
3.3 Payment will be made monthly in arrears, on the last working day of each month, via
bank transfer.
3.4 Any fee adjustments or reductions will be agreed in writing prior to the assignment
and documented in the booking confirmation.
3.5 No commission will be deducted by the Agency.
4. CANCELLATIONS & PENALTIES
4.1 If the Staff cancels a confirmed booking without notice, a cancellation charge of £25
per day may apply. This fee reflects the administrative cost and potential client
relationship impact.
4.2 Sufficient cancellation notice:
– 1-day booking: 1 week
– 7+ days: 1 month
4.3 Failure to pay the cancellation charge within 7 days may result in removal from the
Agency books.
4.4 Special cases may be considered at the Agency’s discretion.
5. HEALTH & SAFETY
5.1 The Staff must inform the Agency of any health issues that may affect performance.
5.2 The Agency is not liable for injury unless caused by proven negligence.
5.3 It is recommended that the Staff maintain appropriate public liability insurance.
6. DATA PROTECTION
The Agency will only process personal data where there is a lawful basis for doing so,
and it will take appropriate technical and organisational measures to safeguard such
data.
6.1 The Agency complies with the UK General Data Protection Regulation (UK GDPR).
This includes ensuring that all personal data collected, processed, and stored is
handled lawfully, fairly, and transparently.
6.2 The Staff’s data will be used solely for managing bookings and fulfilling legal
obligations.
6.3 Staff have the right to access their data, request rectification, object to processing,
and request erasure where applicable. A full explanation of your data rights is outlined

7. TERMINATION
7.1 The Agency reserves the right to remove Staff from its books for any of the
following:
– Repeated lateness or no-shows
– Two or more consecutive booking rejections
– Breach of this Agreement or Code of Conduct
7.2 Gross misconduct (e.g., theft, harassment, intoxication, or reputational damage) will
result in immediate termination.
7.3 Staff may voluntarily terminate their agreement by notifying the Agency in writing.
8. LIMITATION OF LIABILITY
The Agency shall not be liable for any injury, loss, or damage incurred during
assignments unless caused by proven negligence. The Staff is responsible for their own
insurance and compliance with applicable laws.
9. CHANGES TO TERMS
The Agency may revise these terms from time to time. The Staff will be notified and may
be asked to agree to revised terms for continued representation.
10. GOVERNING LAW
This Agreement is governed by the laws of England and Wales. All disputes shall be
subject to the exclusive jurisdiction of the English courts.
APPENDIX 1: DEDUCTIONS
The following deductions may apply if agreed in advance and with prior written consent:
– Late arrival (over 5 minutes): Fee adjustment per booking
– Early departure from a shift without notice: Partial fee reduction
– No-show or failure to check-in: Forfeiture of fee
– Negative client or mystery shopper feedback: Potential removal from books
APPENDIX 2: CODE OF CONDUCT
The Staff must:
– Follow all booking instructions and dress codes
– Avoid mobile phone use during shifts
– Maintain hygiene and personal grooming
– Avoid unauthorised contact with Clients
– Submit expenses with receipts within 2 weeks
– Comply with venue codes of conduct
APPENDIX 1: DEDUCTIONS FROM WAGES

In addition you will only be paid for hours worked during this shift. |
Failure to work scheduled days after attending a client brief. | In these circumstances you will not be paid for the briefing day, or in respect of any expenses incurred. |
Negative comment or feedback from a client or a mystery shopper | In the event of a negative feedback your salary will be reduced to the minimum level stipulated in the National Minimum Wage Act 1998 for the whole of the assignment. |
Failure to adhere to Elpromotions Limited uniform guidelines including wearing badge | Activity Dependant |
Posting of activity photos onto social network sites without prior written approval from Elpromotions Limited | May result in your removal from the Agency books |
REPORTING | |
Failure to complete or return any form of requested reporting in full and within deadline specified including photos from the booking. | In the event of a failure to return a report your salary will be reduced to the minimum level stipulated in the National Minimum Wage Act 1998 for the whole of the assignment. |
Failure to send check in photo via email/ whatsapp message to Elpromotions within 5 minutes of shift start time | Your salary will be reduced to the minimum level stipulated in the National Minimum Wage Act1998 for the whole of the assignment. |
OPERATIONS/LOGISTICS | |
Failure to provide a courier with all necessary equipment for collection | Activity Dependant and the cost of 2nd collection |
Not returning demonstration products if briefed to do | Cost of product deducted from wages if event not completed. If you cancel any pre-booked days, products must be sent back at your own cost. |
APPENDIX 2: Code of conduct (the “code”)
Elpromotions Limited (the “Agency”) takes pride in the high standard of Staff that we provide for our clients. The purpose of this code of conduct is to set out the Agency’s position on what is regarded as satisfactory conduct by workers engaged by Elpromotions Limited. You will be required to adhere to our Code and standards of presentation at all times.
You are expected to apply yourself satisfactorily in the performance of your duties and in your standards of presentation. If you fail to conduct yourself in a satisfactory manner (as determined by the Agency) then you will be in breach of this Code.
The Agency determines under the Code that as well as applying yourself to a satisfactory manner, you should also conduct yourself in accordance with the following guidelines.

Failure to follow this Code will result in a breach of the Code and will result in your termination from an assignment forthwith and removal from the Agency.
We may, at our discretion, give you the opportunity to respond to any allegations of any breach of the Code prior to making any decision to remove you from our books or terminating you from any booking.
This contract will be governed by the law of England and Wales.
